Distinguish fixed and flexible times
Mark appointments with a genuine arrival deadline separately from meals, informal discussions and optional visits. Include the host contact for each fixed appointment. A single schedule should show which times can move and which require a fresh decision; otherwise an early delay can cause avoidable confusion throughout the day. If the schedule is prepared by several colleagues, ask each host to validate their own entry before the assistant circulates the consolidated version.
Describe the visitor experience
Explain whether the executive prefers a discreet companion, a visible professional presence or support limited to specific public activities. Include practical preferences such as meeting language and whether the assistant travels with the principal. These details help shape a professional service without requiring a broad disclosure of private information. Mention any preference about introductions or how the professional should address the visitor, particularly when the first contact will be made without the assistant.
Control itinerary versions
Give the itinerary a date or version number and nominate its owner. If a meeting location changes, send the full corrected address rather than a fragment of a message. Ask the recipient to acknowledge the change. An old calendar invitation should not quietly override the latest confirmed operational brief. Remove superseded copies from the working distribution where practical, and make the latest version easy to identify without opening several different attachments.
Close the assignment clearly
State who can release the protection professional at the end of the day and what happens if the executive continues to dinner. A planned finish is not automatically an open-ended extension. Request approval for additional time, document the revised finish and keep any separate chauffeur arrangement consistent with that decision. Ask the assistant to record the release decision and its time, especially when the executive leaves with a different host at the final venue.
