Define the assignment
Start with the arrival point, the appointment sequence and the final release location. Explain whether the visitor needs accompanied movement, support at a reception or a dedicated professional throughout the day. These are different assignments; naming the expected activities allows the team to assess staffing and availability before accepting the request. A useful brief also says which activities are optional, so the coordinator can distinguish a firm requirement from an idea still under discussion.
Name a decision maker
Choose one person who can approve changes while the visitor is in meetings. An executive assistant, corporate travel manager or designated host can hold this role. Give that person the booking reference and agree how updates should be sent. Avoid having several departments issue conflicting instructions during the same appointment. Confirm whether the nominated person can approve spending as well as schedule changes; those permissions may sit with different people inside a company.
Prepare a proportionate brief
Share functional requirements first: language preferences, mobility needs, meeting times and expected public appearances. Sensitive background information can be discussed through an agreed channel after the initial enquiry. Do not place confidential documents or detailed personal histories in an ordinary website form simply because a large notes box is available. Where the client already has a corporate security contact, ask that person to help determine what information is appropriate for the initial discussion.
Understand the service boundary
A protection request is reviewed before it becomes a confirmed assignment. Airportcab does not use a website enquiry as evidence that specialist duties, venue access or international permissions are available. Ask for written confirmation of the agreed activities, personnel count, hours and any separate limousine service before relying on the arrangement. Keep a copy of the accepted confirmation with the itinerary, so the assistant can check a new request against the service already agreed.
