Confirm the speaker schedule
Obtain the organiser’s latest call time, presentation slot and rehearsal requirements. Include the contact responsible for speaker registration. An advertised session time rarely describes the full attendance required, so the assistant should confirm when the speaker is expected onsite and whether any preparation takes place elsewhere. If the speaker’s travel is arranged by a different team, reconcile the arrival plan with the organiser’s call time before the programme is finalised.
Agree access with the organiser
Ask whether an accompanying professional can enter the preparation room, speaker lounge or stage area. Each permission must come from the event organiser or venue. A private protection booking does not provide event credentials, and the guest should not arrive expecting unrestricted access for their supporting team. Where the organiser offers an alternative waiting space, describe how the speaker or assistant will contact the professional when the next agreed activity begins.
Plan the audience interaction
Tell the provider about planned questions, photographs, book signings or informal networking. These activities change the assignment’s practical shape. The communications team should decide the public engagement format with the organiser, while the protection provider reviews the support requested within that agreed programme. A signing or reception may involve a separate host, so add that contact to the relevant part of the schedule without circulating unrelated attendee information.
Include the next commitment
Specify whether the speaker leaves immediately, attends a reception or continues to a Zurich business meeting. Confirm the separate vehicle arrangement and intended end of the protection assignment. If a session is rescheduled, use the nominated coordinator to obtain an acknowledged change rather than assuming personnel availability. If the speaker accepts another engagement after the conference, treat it as a requested itinerary change and check the additional service time before confirming it.
