Whether you are orchestrating a black-tie gala at the Zurich Opera House, hosting a roadshow across three Swiss cities, welcoming delegates to Davos, or celebrating a wedding in the Engadin, the logistics of moving people elegantly and on time define the event as much as the venue itself. BLACKTRANSFER provides dedicated event transportation throughout Switzerland and neighbouring countries — a seamless, discreet operation built around your schedule, not ours.
What Event Transportation Really Means
Booking a single car is a transfer. Coordinating fleets, liaising with event managers, synchronising arrivals at a red carpet and managing the unpredictable flow of a live event — that is event transportation. The two look similar from the outside; the difference is felt when something changes at the last minute, which it always does.
BLACKTRANSFER has an in-house dispatcher available around the clock. For every multi-vehicle event assignment we appoint a dedicated operations contact who stays in communication with your event manager, venue coordinator or production team from the planning stage through to the final drop-off. Vehicles are positioned in advance; drivers are briefed on itineraries, dress codes, VIP protocols and access-point restrictions specific to each venue.
Events We Specialise In
Galas, Award Ceremonies & Corporate Dinners
Zurich's social calendar — from the Art Zurich vernissages to end-of-year banking galas at the Dolder Grand — demands punctuality dressed in discretion. Guests arrive from different hotels, private residences and the airport. Our dispatcher maps every pick-up and coordinates staggered arrivals so that cars flow rather than queue. Vehicles are presented immaculate; chauffeurs are in dark suits and briefed to stand at a respectful distance until needed.
International Conferences & Roadshows
Multi-day conferences at venues such as the Congress Center Zurich, SwissTech Convention Center in Lausanne, or Hotel Beau-Rivage in Geneva require a transport layer that adapts to a live programme. Speaker slots overrun; panel discussions finish early; VIP guests request a detour. Our hourly chauffeur service — from CHF 95 per hour for the E-Class, minimum three hours — is purpose-built for this variability. Corporate accounts receive consolidated invoicing and can book additional vehicles on the day through a single WhatsApp message to +41 79 177 24 24.
WEF Annual Meeting — Davos
The World Economic Forum transforms a small Alpine town into the world's most security-conscious conference destination every January. Road closures, military checkpoints, accreditation zones and the sheer volume of principals arriving at Klosters and Davos Platz require local knowledge that cannot be improvised.
BLACKTRANSFER has structured its Davos operation around the specific rhythms of WEF week: early-morning transfers from Zurich Airport along the A3 and over the Landquart junction, timed arrivals at the Congress Centre drop-off zone, shuttle loops between the Steigenberger Grandhotel Belvédère, Hotel Morosani Schweizerhof and fringe-event venues on the Promenade, and late-night returns after the last dinners. The fixed all-inclusive price from Zurich Airport to Davos starts at CHF 690 for an E-Class; for larger delegations the Mercedes-Benz V-Class (up to seven passengers) or a Cadillac Escalade provides appropriate presence and capacity. For WEF assignments, specific terms and early booking are advised — availability is strictly limited.
Concerts, Premieres & Cultural Events
The Zurich Tonhalle, the Hallenstadion, the Lucerne Festival, Art Basel — cultural events carry their own timing logic. Concerts begin on the hour; art fairs open VIP previews at precise times. Our chauffeurs are familiar with the loading and unloading restrictions at major venues and know which entrances are reserved for access vehicles. Post-event departures, where hundreds of guests leave simultaneously, are handled by pre-positioning vehicles in agreed waiting areas and communicating clearly with guests by mobile — no circling, no confusion.
Fashion & Art Events
Switzerland's position at the intersection of finance and culture produces a consistent calendar of fashion presentations, gallery openings and private auctions — many in Zurich's Kreis 5 and along the Bahnhofstrasse, and increasingly in the hotels and private residences of the Lake Geneva arc from Lausanne to Geneva. These events call for discretion above all: guests who wish not to be noticed, vehicles that do not announce themselves. Our Mercedes S-Class and Bentley Flying Spur are available with tinted windows and full privacy partitions.
Weddings
A wedding is, structurally, one of the most complex single-day logistics exercises a private individual will ever manage. BLACKTRANSFER coordinates bridal party transport, guest shuttles between venues, and the principal car — whether that is a Bentley Flying Spur or a Mercedes-Maybach S-Class — with the ceremony timing and the photographer's schedule in mind. We serve civil ceremonies at Zurich's Stadthaus, lakeside celebrations at Villa Seerose or Schloss Heidegg, mountain weddings in Graubünden, and vineyard ceremonies in the canton of Ticino. A dedicated vehicle plan is prepared for each wedding booking, reviewed with the couple or planner, and confirmed in writing before the day.
Fleet for Group & Event Transport
Matching the right vehicle to the right guest or group is not merely a question of capacity — it signals care and sets a tone. The following overview covers our most frequently used combinations for events.
| Vehicle | Passengers | Ideal for |
|---|---|---|
| Mercedes-Benz E-Class | Up to 3 | Executives, individual speakers, discreet solo VIP |
| Mercedes-Benz S-Class | Up to 3 | Senior executives, diplomatic guests, red-carpet arrivals |
| Mercedes-Maybach S-Class | Up to 3 | Principals, board-level VIP, heads of state-level protocol |
| Mercedes-Benz V-Class | Up to 7 | Delegations, bridal parties, family groups |
| Mercedes GLS | Up to 4 + luggage | Alpine transfers, ski resorts, Davos/St. Moritz runs |
| Cadillac Escalade | Up to 6 | US-delegation preferences, high-security environments |
| Bentley Flying Spur | Up to 3 | Weddings, premieres, fashion-week arrivals |
All vehicles carry Swiss ZH plates, are fully insured for passenger transport, and are maintained to the standards required for the Swiss market. Every car provides in-vehicle Wi-Fi, bottled water, and device-charging points as standard.
Multi-Vehicle Coordination
For events requiring more than two vehicles simultaneously, BLACKTRANSFER operates a structured coordination protocol:
Pre-event planning — A transport brief is shared with the event manager or PA covering the list of guests, addresses, timings, any special requirements (accessibility, child seats, specific language preference for the chauffeur) and the running order of the event itself.
Dispatcher on duty — A dedicated dispatcher monitors the operation in real time on the day. They maintain radio and messaging contact with every chauffeur in the deployment and can redirect vehicles, adjust timing or source additional capacity within the network if required.
Flight tracking at no charge — Where guests are arriving from airports, BLACKTRANSFER tracks all inbound flights and adjusts pick-up times automatically. The standard 60-minute complimentary waiting period at airports covers typical immigration and baggage delays without additional cost to the client.
Meet & greet with name signs — At Zurich Airport (ZRH), Geneva Airport (GVA) and Basel EuroAirport (BSL), our chauffeurs meet guests in the arrivals hall with printed name signs. For VIP guests requiring a more discreet greeting — no name sign, direct kerb-side handover — this can be arranged individually.
Post-event wave management — For events where 50 to 300+ guests depart within a narrow window, we prepare a written departure plan in advance, assign vehicles to sectors of the guest list, and position chauffeurs to move guests efficiently without visible queuing at the main entrance.
Working with Event Managers & PA Networks
Many of our event bookings arrive through executive assistants, event management agencies and personal travel managers rather than directly from principals. We have built our workflow to suit this. Your PA or event manager can book by email to info@blacktransfers.ch, receive a structured confirmation and cost breakdown, and manage the entire event fleet through a single point of contact. Corporate accounts with regular event requirements are invoiced monthly by statement. Accepted payment methods include Visa, Mastercard, Apple Pay, Google Pay, PayPal, and direct bank transfer for corporate accounts.
Pricing Guidance for Events
Event pricing depends on the number of vehicles, the duration of the deployment, routing and any overnight or standby requirements. The figures below are a reference point; a detailed quote is issued for every event booking.
| Service type | Starting from |
|---|---|
| Hourly chauffeur — E-Class | CHF 95/h (min. 3 h) |
| Hourly chauffeur — S-Class | CHF 130/h (min. 3 h) |
| Hourly chauffeur — V-Class | CHF 120/h (min. 3 h) |
| Hourly chauffeur — Maybach | CHF 220/h (min. 3 h) |
| Zurich Airport → Davos (one way, E-Class) | CHF 690 |
| Zurich Airport → St. Moritz (one way, E-Class) | CHF 890 |
| Zurich Airport → Zermatt (one way, E-Class) | CHF 990 |
All prices are fixed and all-inclusive: VAT, tolls, motorway vignette, fuel and standard waiting time are covered. There are no hidden supplements for luggage, meet & greet or flight monitoring. For WEF Davos and large-scale events, specific terms apply and are confirmed at the time of booking.
Cancellation Policy for Events
Standard bookings: cancellations made more than 24 hours before the scheduled pick-up are free of charge. Cancellations within 24 hours are charged at 50% of the agreed fare; cancellations within three hours or no-shows are charged in full.
For large event deployments and WEF Davos bookings, individual terms are agreed at the time of confirmation and stated explicitly in the booking documentation. We recommend confirming event fleets as early as possible — demand during WEF week and major Art Basel periods routinely exceeds available capacity across the Swiss chauffeur market.
Frequently Asked Questions
How far in advance should I book event transport? For individual vehicles, 48 hours is usually sufficient outside peak periods. For multi-vehicle events, WEF Davos or weddings, three to six weeks in advance is advisable. WEF fleet positions are taken months ahead by regular clients.
Can you coordinate with our event production team directly? Yes. Once a lead contact is established, our dispatcher works directly with your on-site team on the day via phone, WhatsApp or whatever communication channel suits the production environment.
Do your chauffeurs speak English? All BLACKTRANSFER chauffeurs operate fluently in English. Most also speak German; several speak French, Italian or further languages depending on availability. Language preferences for specific VIP guests can be requested at the time of booking.
Can you provide vehicles with privacy partitions? Yes. The Mercedes S-Class, Mercedes-Maybach S-Class and Bentley Flying Spur are available with full privacy partitions on request.
What happens if the event overruns significantly? For hourly bookings, additional time is billed in hourly increments at the applicable rate. For fixed-price point-to-point bookings where a substantial delay changes the nature of the service, the dispatcher will communicate with the client in real time and agree on an adjustment if necessary.
Do you operate outside Switzerland? Yes. BLACKTRANSFER serves neighbouring countries including Germany, Austria, France, Italy and Liechtenstein. Cross-border transfers are quoted individually and are subject to the relevant regulatory requirements for passenger transport.
How do I get a quote for a multi-vehicle event? Send the event date, location, number of vehicles required, guest count and approximate timings to info@blacktransfers.ch or call +41 79 177 24 24. A detailed, itemised quote is returned promptly — typically within a few hours during business hours.
